What we collect, why, and how to get it back or deleted.
Effective July 29, 2026. This describes what Suvy Voice actually does with your data, in plain sentences, not a template. It applies to the direct product and to every white-labeled version of it.
Who this policy covers
This policy covers Suvy Voice, an AI voice agent platform built and operated by Suvy LLC (“Suvysoft,” “we,” “us”). It applies whether you signed up directly at voice.suvysoft.com or through a reseller selling Suvy Voice under their own brand.
If you signed up through a reseller, that reseller is the business you have a direct relationship with, and they may have their own privacy notice covering how they collect and use your information on their side. Suvysoft still processes the underlying data, including call recordings and transcripts, to provide the service, and this policy describes how we do that.
Two kinds of people show up in Suvy Voice data: the business that holds the account (you, if you are reading this as a customer), and the people who call or are called by that business’s agent (your callers). Both are covered below.
Information we collect
Account and workspace information. Name, email address, business name, and the workspace settings you configure, including agent names, greetings, rules and guardrails.
Call recordings and transcripts. Every call your agent handles is recorded and transcribed. That includes the audio, the text transcript, the caller’s phone number, call duration, and the outcome (booked, transferred, message taken, and so on).
What a caller tells the agent. If a caller gives their name, callback number, email address, or appointment details during a call, that becomes part of the call record and, if you have booking or contact logging turned on, gets written into your calendar, sheet or CRM.
Your website, at setup and on a schedule. When you point an agent at your website, we read the pages you point it at (services, hours, FAQ and similar public content) to build the knowledge base it answers from. If you turn on scheduled re-training, we read it again periodically. You can also type in facts by hand or paste a document, which we store as you wrote it.
Connector tokens. If you connect Google Calendar, Outlook, Slack, Google Sheets or a CRM, we store the access token needed to read and write on your behalf. Tokens are held server side and are never sent to your browser.
Payment information. Billing is handled by a card payment processor. We do not receive or store your full card number; we hold whatever the processor returns to identify the payment method (for example, card type and last four digits) and your billing history.
Usage data. Minutes used, number of agents, and similar figures needed to run your plan and bill you correctly.
How we use this information
We use what we collect to:
- Answer and place calls on your behalf, using your rules and knowledge base
- Write bookings, contacts and notifications into the tools you connect
- Send you call summaries, and send your callers the follow-ups you turn on
- Bill your account and calculate usage against your plan
- Provide support and investigate a call a customer disputes
- Secure the platform and prevent abuse of the calling features
We do not sell your personal information or your callers’ personal information, and we do not use your call recordings or transcripts to build or train something for another customer.
Call recording, AI disclosure and consent
Every call an agent handles is recorded and transcribed as a normal part of how the service works: it is how the summary, the transcript and the analytics on your dashboard exist at all. Laws on recording a phone call vary by state and country, and some places require every party on the call to consent before it is recorded. As the business running the agent, you are responsible for complying with the recording consent laws that apply to where you and your callers are located, including having your agent disclose that the call is recorded where that is required.
Suvy Voice is inbound only. Your agent answers the calls that come to your number and never places a call of its own, so we hold no calling list, no contact upload and no dialing history. Every call record we hold came from someone who chose to ring you.
The agent never claims to be a person. Asked directly, it says it is an assistant, and that is not a setting you can switch off.
How long we keep it
Call recordings, transcripts and workspace data are kept for as long as your account is active, so that your history, analytics and knowledge base stay intact. They are exportable at any time from your dashboard.
When you close your account, we delete or anonymize the data tied to your workspace within a reasonable period, except where we are required to keep billing records for tax or accounting purposes, or where a specific record is under legal hold.
If your business has a specific retention or deletion requirement, for example a shorter retention window for call recordings, tell us before you sign up and ask what we can commit to in writing. We would rather answer that honestly up front than discover a mismatch later.
Access, export and deletion
As the account holder, you can export the recordings, transcripts and contact records in your workspace at any time from your dashboard. To close your account and have your workspace data deleted, use the account settings or write to us at the address below.
If you are a caller who spoke with an AI agent built on Suvy Voice and want to know what was recorded about you, ask the business you called first, since they hold the account and set the retention and follow-up rules. If you cannot reach them, write to us and we will help route the request.
Depending on where you live, you may have specific legal rights to access, correct, delete or receive a copy of your personal information, and to object to or restrict certain processing. We honor these requests to the extent required by applicable law. Write to us at the address below and we will respond within a reasonable time.
Children's data
Suvy Voice is a business tool sold to companies and their staff, not a service directed at children. We do not knowingly collect personal information from children under 13. If you believe a child’s information has reached us, for example because a caller was a minor, write to us and we will address it.
International data transfers
Suvysoft is based in the United States and the infrastructure we use runs primarily in the United States. If you or your callers are located outside the United States, using Suvy Voice means your information is transferred to and processed in the United States, which may have different data protection laws than your own country. We take reasonable steps to protect information transferred this way, consistent with this policy.
Changes to this policy
We will update the effective date below when this policy changes, and for a change we consider material we will make a reasonable effort to notify account holders directly, by email or inside the dashboard, before it takes effect.
